 EASE OF USE FLEET BILLING

How does the Scale Operator use the system?

As a vehicle arrives, its Truck# or License# is entered. Then the operator hits "Enter" and the weight is read from the scale. All of this information will show on the screen. It is that simple.

If any further information needs to be entered, such as changing the material type that initially came up, the operator can modify it. When all of the information on the screen is correct, the operator hits a key and the ticket is added.

If the tare weight for the vehicle is on file, the ticket prints at this point and can be given to the driver. If the tare weight is not on file, then no ticket will print until the load is dumped and the driver stops on his way out to tare.

Ease of Operation at the scale was of major importance during the systems design. Many of the functions are automatic and the operator needs only to verify the information as it shows on the screen before hitting the button to print the ticket.

Must the operator enter in the amount that is being charged?

Based on the type of material that is coming in, the system automatically knows what amount to charge. For example, a 'Hard to Handle' load for an 'in-state' customer would be charged a specific rate. In addition, you can set up any customer to have their own special rate to be charged for a particular type of material. You also have the option to now show prices (to the operator or on the ticket) even though the system would internally know what the prices would be.

Are all charges based on tons?

You can base any charge on tons, pounds, yards, quantity, or flat amount. For example, you could charge tires by quantity instead of by weight.

Can special messages show to the Scale Operator?

Yes, an operator message such as:

Have customer contact office before accepting the load.
Do not accept load under any circumstances without calling.
could be put in for an account.

Then, when any vehicle for that account comes to the scale, the operator would see the message pop-up on the screen.

There are also messages that will automatically show, such as if a vehicle comes in for an account that has been closed or is over their credit limit.

How does an operator know what materials to accept?

This can be done outside the system, when an operator is aware that certain types of materials cannot be dumped at their location. If you want to keep this information in the system, you can add the material type with a special indication that it is 'not allowed' at the location. If the operator tries to enter in that material type, they will get a message that the material type is not allowed.
